Library Assistant II (CSU University - East Bay)

Some evening/night and weekend work required, on a rotation basis. .The primary function of the Interlibrary Loan Department is to provide expeditious and efficient access to books, periodical articles and other materials not available in the CSUEB Library or through Link+ consortium, through interlibrary borrowing, and to provide access to CSUEB materials to libraries on a local, state, and national level through interlibrary lending. The purpose of this position is to effectivelycoordinate the operations of Interlibrary Loan Services.
BORROWING: Receive and prioritize patron’s ILL requests in the Ariel ILL system; note patron status and time restrictions. Verify CSUEB does not own item either in print or full text online or that item is not available via Link+ Consortium. Conduct a search for item using Ariel client; select appropriate libraries, choosing reciprocal libraries first and then libraries which participate in OCLC Internal Fee Management (IFM); process request. Monitor Ariel for messages from lending libraries and responding to conditional and received inquiries. Also oversee overdue notices. Receive and process incoming material to make ready to place at the CSUEB Library Circulation Desk, or send to the Concord Campus Library Circulation Desk, or if item was received electronically, process the item for patron retrieval online. Return borrowed material; package materials for couriers (Tricor and Baylis), U.S. Mail or UPS. Mail room responsibilities: Morning: open and sort incoming Tricor pouches and bins; file incoming mailing labels in appropriate locations; sort incoming ILL and Link+ materials; deliver Link+ items to Circulation. Afternoon: distribute packages appropriately (i.e., Tricor, Baylis, U.S. Mail or UPS); sort, weigh and log materials being sent via Tricor; log materials being sent UPS. Resolve borrowing transaction problems/errors and attend to specific issues/problems that require immediate consideration/attention. LENDING: Monitor Ariel for incoming requests from other libraries; select all CSU libraries as well as reciprocal libraries and those using the OCLC IMF Program as a priority for lending, eliminating requests from libraries not meeting our policy criteria (i.e., cost, types of materials). Find items on the shelves; retrieve books and periodicals. Check out books; process paperwork for lending . Prepare books for shipment (i.e., package for couriers Tricor and Baylis, U.S. mail and UPS). Scan periodical articles via Ariel or Odyssey or photocopy and prepare for shipment. Resolvelending transaction problems/errors and attend to specific issues/problems that require consideration/attention.
REQUIRES: Three years of library assistant experience; or two years of library assistant experience and two years of education; or one year library assistant experience and four years of education. Any combination of education and experience that provides the required knowledge and abilities may be substituted. Ability to: work accurately with attention to detail; use discretion in applying rules, regulations and procedures; communicate effectively using standard English; work cooperatively with others; use a desktop computer; working knowledge of the activities, policies and procedures of the area to which assigned and how that area interacts with other parts of the library; general knowledge of computer applications in the library, the academic library setting; the library’s collection; and work independently.
PREFERRED SKILLS AND KNOWLEDGE: Knowledge of interlibrary loan operations, policies and procedures as well as knowledge of technology specific to the operation of ILL preferred. As the ILL operation is extremely time sensitive, the position requires the ability to organize and process the daily work in an efficient and timely manner. The position requires a customer service orientation and a responsive and sensitive attitude to the needs of students, faculty and staff using interlibrary loan services. Demonstrated ability to communicate effectively with diverse student, faculty, staff, and communityis essential.
