Position Summary The Library Operations Supervisor facilitates customer access to the collections of the University of Arizona Libraries; this includes leading, facilitating and involving team members in team planning, setting objectives, defining expectations and problem solving. This position empowers and holds team members accountable for participation in Circulation and Collections Maintenance processes. This position assists library customers with research needs at Library service sites, educates customers about Library and team policies and procedures, enforces Library policies and supports the University of Arizona Libraries in its mission and vision in providing excellent customer service. This position reports to the team leader of the Materials Access Team working in a high volume and standards driven environment.
Duties and Responsibilities

Team Leadership and Staff Supervision:* Hires, trains and manages temporary employees as needed.

* Supervises and directs the work of staff within the unit.

* Provides mentoring and coaching to staff creating an environment in which goals can be achieved and career development is fostered. Responsible for ensuring that team members have the necessary skills and tools to share mentoring and coaching responsibilities within the unit.

* Assists individuals in establishing meaningful measures of success. Assists individuals in defining skills and knowledge needed to succeed. Reviews and monitors work performance in the developmental reviews of staff supervised.

* Effectively trains and evaluates individual competency levels while ensuring established competencies are being met.

* Understands and applies state and local policies and procedures related to personnel selection, performance reviews, strategic planning & implementing new products/services.

* Responsibilities for budget management include financial planning, projecting, monitoring, and developing solutions to meet the budgetary needs of the team.

* Actively participates on MAT Leadership Team, including attendance at All Staff, Library Reports, Open Dialogue and Learning Network meetings. Part of this work includes reviewing and recommending changes in team structure and work expectations to efficiently and effectively accomplish MAT and library objectives.
Customer Service:

* Provides basic research needs by providing information and referral service at library service sites, including evening and weekend rotation.

* Access and retrieve information through library online catalog or associated databases.

* Responsibilities also include the performance of any and all functional work activities associated with these service sites.

* Responsible for customer complaints and fines problem solving, including negotiating fines at all library sites.

* Seeks information to better understand customer’s need.

* Takes a proactive approach and coordinates with peers in order to effectively meet customer service needs.

* Evaluate and improve the quality of services and products.

* Assess problem situations and initiates effective interventions that result in customer satisfaction.

* Develop effective work relationships with diverse customers and colleagues.
Team Participation:

* Participates in work team and MAT meetings; actively participates on MAT projects or fills in for those on a project.

* Works cooperatively with others.

* Communicates clearly and effectively with peers and customers. Expresses self in an articulate easy to understand manner.

* Participates on library-wide cross-functional teams as appointed/assigned. Ability to facilitate group discussion.

* Keeps an accurate record of discussions by charting key points of conversations and decisions on a flip chart.

* Observe group dynamics and report back observations as part of evaluating the meeting’s effectiveness

* Summarizes points of commonality and difference in opinion.

* Creates spreadsheets for gathering data. Works collaboratively with others, solicits input and credits others.
Fine Arts/Special Collections:

* Ensures work of team is performed effectively and to the benefit of customers, establishing and monitoring quality standards and adjusting work schedules as needed.

* Shares responsibility with team for data analysis to demonstrate the quality of our work and to continually improve customer access.

* Ensures data and statistical reports for work team are established and monitored.

* Directs and leads continuous improvement in Fine Arts and Special Collections work team.
Arizona Board of Regents Minimum Qualifications

* Bachelor’s degree AND five years related library experience;

* OR nine years related, progressively responsible library experience;

* OR any equivalent combination of experience, training and/or education approved by Human Resources.
Additional Minimum Qualifications

* Demonstrated experience with leadership and supervisory skills, including training, coaching, mentoring and coordinating the work of others and/or projects.

* Experience in budget management, including financial planning and projecting, monitoring expenditures, and developing budgetary solutions.

* Demonstrated experience and proficiency using MS Word, MS Excel, e-mail, and calendaring.

Preferred Qualifications

* Demonstrated customer service, communication and organizational skills.

* Demonstrated ability to work in a fast-paced/multi-tasking environment prioritizing tasks and responding positively to unanticipated changes while exhibiting flexibility under demanding circumstances.

* Strong communication and time management skills.

* Assesses problems using effective critical thinking and analytical skills.

* Knowledge of library practices and procedures, including knowledge of a variety of automated library systems including searching automated library systems - record interpretation.

* Knowledge of issues pertaining to collections (various formats) and stacks maintenance.

* Knowledge of issues pertaining to circulation and the use of online circulation systems.

* Demonstrated ability to work proactively and constructively to identify, define and solve problems with team, between teams and with individuals on teams.

* Ability to work effectively with diverse faculty, staff, and students.

* Skill in interviewing customers regarding reference services and sources.* Knowledge of and skill in usage of various research methodologies and tools.

* Ability to learn new skills as the work environment and customer needs change.

* Facilitation, meeting and project management skills.

* Process improvement/cost and systems analysis skills.

* Skill with Microsoft Project and Microsoft Access.
